Follow a community hall roof project at Meadowscroft Community Trust. The product scenes below use synthetic demonstration records.
The next agenda starts with work already recorded.
Choose the committee and run agenda assembly. Quorate brings together its meeting template, eligible outstanding actions, pending committee referrals and policy or risk reviews due. You review the business and add the papers before publication.
The member’s view
Give members the context to contribute.
Members open the published agenda and papers in their own portal, keep personal notes against an item and send their apologies when they cannot attend. The responsive member view keeps that preparation close at hand on a phone.
Personal notes belong to the member. Pack readiness shows the actual file status; a download is available when the file is ready.

Keep the decision and how it was reached together.
Work through the agenda in the live meeting view. People record motions, votes, declarations and decisions against the current item, with configured procedural checks in context. The outcome and the evidence behind it stay connected.
The chair or officer records what happens. Quorate keeps that structured record; it does not transcribe the conversation or certify that every decision is lawful.

From meeting to minutes
The recorded business gives the minutes their first draft.
Generate draft minutes from recorded resolutions, vote summaries, declarations and item-linked actions. Add the account of the discussion and review the wording. Publication, formal approval and signing remain explicit steps in the record’s lifecycle.
A published draft and an approved record carry different statuses. Publishing a draft does not approve it.
Explore minutes and review
Leave the next meeting something useful to start from.
Give the roof project’s follow-up action an owner and a due date, linked to the decision. When you assemble a later agenda, eligible overdue or undated open actions return to view. Earlier minutes and supporting papers stay available as the committee reviews its progress.

A recorded decision, an accountable follow-up and the source for the next agenda — without rebuilding the history from an inbox.
The public’s view
A clear public record, when the work calls for one.
The public portal presents permitted, published open-session agendas, minutes and decisions with their status. Confidential business and members’ personal notes stay separate. You decide what to publish through the authorised publication controls.
